The City of Sallisaw will accept sealed proposals until 10:00 a.m., Wednesday, November 14, 2018, for the following equipment:
20 YD REAR LOAD PACKER BODY SANITATION TRUCK
Prospective bidders may pick up a set of specifications in the office of the Purchasing Agent at City Hall, 115 East Choctaw, in Sallisaw, Oklahoma.
Proposals shall be sealed in an envelope with the words “20 YD REAR LOAD PACKER BODY SANITATION TRUCK” on the front of the envelope. All proposals shall be submitted to the City Clerk prior to the time and date set for opening. If mailing, bid shall be mailed to the attention of the City Clerk, PO Box 525, Sallisaw, Oklahoma, 74955. If hand delivered, bids shall be delivered to the office of the City Clerk, 115 East Choctaw, Sallisaw, Oklahoma, between the hours of 8:00 am and 5:00 pm, Monday through Friday. Proposals will be publicly opened and read aloud in the third floor conference room of City Hall, 115 East Choctaw, in Sallisaw, Oklahoma, at 10:00 a.m., Wednesday, November 14, 2018. Proposals received after the time set for opening will not be considered and will be returned unopened. Also, bids received more than ninety-six (96) hours prior to the time set for opening, excluding Saturdays, Sundays and holidays will not be considered. Bidders are responsible for ensuring their bid is received by the date and time specified.
Bidders should carefully examine specifications and fully inform themselves as to all conditions and matters, which can affect the work or the costs thereof. Should a bidder find discrepancies in, or omissions from the bid document, specifications or other documents, or should be in doubt as to their meaning, he should notify the City of Sallisaw and obtain clarification prior to submitting any proposal. Any request for clarification or additional documentation shall be submitted via e-mail to Randy Sizemore, Purchasing Agent. Any clarification, additional documentation and/or addendum from the City of Sallisaw will be forwarded to all prospective bidders via e-mail. All requests for additional information from prospective bidders shall be submitted to the City of Sallisaw, via e-mail, no later than seven (7) calendar days prior to the date and time set for bid opening.
If required, the bidder may be asked to submit certain information regarding his qualifications and planned work schedule.
Issuance of this bid request in no way constitutes a commitment by the City to award a contract or to pay any costs incurred in preparation of a response to this request. This bid request does not represent a commitment by the City to do business with any vendor or the vendor who submits the best proposal. The City will select the proposal, or combination of proposals that, in its opinion, is in the best interest of the City. The City reserves the right to cancel this bid, reject all proposals, and seek new proposals through a new bid request or other means. The City reserves the right of evaluation and the right to determine the methodology for evaluation of the proposals to determine and accept the proposal (or proposals) deemed to be in the best interest of the City; i.e., the most qualified proposal will not necessarily be the proposal of lowest cost. The City reserves the right to award the bid to any vendor or combination of vendors.
Attention is called to the requirement that the successful bidder must comply with all local, state, and federal laws, regulations and policies applicable to this contract unless specifically excluded herein.
No bidder may withdraw his proposal within thirty (30) days after the actual date of opening thereof.
